ORDERS & WAREHOUSE QC

Understand what each status means and where visual inspection has limits.

What do the main product-order statuses mean?

Pending Payment means the order still needs payment; current guidance says unpaid orders can be cancelled after 72 hours. Processing means the purchase is queued with an agent. Ordered means the seller has been paid. Shipped Local means the seller has dispatched to the warehouse, commonly taking around 3–5 days. Arrived is awaiting inspection, while Stored means it can be selected for parcel creation. Return and refund statuses appear separately when after-sales work is in progress.

What does the warehouse quality check normally cover?

Basic QC can compare visible color, size or variant, quantity, obvious damage and major differences from the order notes. It is a visual check, not laboratory testing or authentication. Small color variation, loose threads, precise measurements, material claims and hidden defects may not be detected.

Can electronics be fully tested?

Usually not. A standard inspection may confirm exterior condition and included accessories, but the warehouse may be unable to power on, install or professionally test electronic products. Treat electronic function and compatibility as buyer risks unless a specific service says otherwise.

What are custom or additional photos for?

Standard QC photos usually show general views. A paid custom-photo service can request a particular angle, label, logo, measurement or close-up. Give short, precise instructions and check the currently displayed price before submitting the request.

How should I handle a return or exchange?

Submit the request quickly after the item enters storage. Eligibility depends on the seller, marketplace rules, time window and whether tags, seals, accessories and packaging remain suitable for resale. Buyer-choice returns may include domestic postage and service charges; seller-error or verified defect cases are negotiated separately.

Which products need extra caution before ordering?

Custom-made goods, deposits or pre-orders, fragile pieces, sealed collectibles, appliances, branded items and products from low-credit sellers can have limited inspection or after-sales options. Confirm seller reputation, production terms and refund rules before paying.

PAYMENTS, BALANCE & ACCOUNT

Use the live wallet screen for the final payment method, currency conversion and processing fee.

Which recharge methods can be available?

Hipobuy may offer PayPal and supported international credit or debit cards. Availability differs by country and payment review. Go to Wallet or Recharge, enter the amount and compare the method, currency, exchange rate, fee and expected processing time shown before confirmation.

Why can a PayPal or card recharge be delayed?

Most completed payments are reflected quickly, but risk review, bank processing or an electronic check can delay settlement. PayPal e-check reviews may take several working days. Do not place a duplicate payment until the original transaction status has been confirmed.

How do balance withdrawals or refunds work?

Use the withdrawal option in the wallet and enter an amount no higher than the available balance. The platform may prioritize the original payment channel and request account information if that route cannot be used. Follow progress in the withdrawal record and verify the current processing rules.

How is a shipping coupon applied?

When creating a parcel, select the delivery address and logistics route first. Eligible coupons should appear near the shipping total. Current guidance allows one shipping coupon per parcel, but eligibility, minimum spend and expiry are determined by the coupon shown in the account.

Why might an account be locked?

A transaction under verification or an open card/PayPal dispute can trigger a temporary lock. Purchasing, shipping and refund processing may pause while the case is reviewed. Contact official support and provide only the documents requested through secure platform channels.

WAREHOUSE, FORWARDING & CONSOLIDATION

Forwarding lets users send supported third-party purchases to the warehouse, while consolidation can reduce repeated base-weight charges.

How do I create a forwarding order?

Open Hipobuy's forwarding feature and copy the warehouse address assigned to your account. Give that address to the Taobao, Weidian, 1688, JD or other supported seller, obtain the domestic tracking number, then create the forwarding record with accurate carrier and tracking details. Correct data helps the warehouse match the parcel without manual delay.

What happens when a forwarded parcel arrives?

The warehouse checks whether the outer parcel can be accepted, opens it for prohibited-item screening, weighs it and attempts to match it to the forwarding record. Visible quantity, variant or damage checks may follow. Severely damaged or non-compliant packages can be rejected or flagged for return.

How long can an item stay in the warehouse?

Current official guidance describes up to 90 days for normally matched stored orders, counted from the stored status. Unmatched or abnormal packages may have a shorter period, currently described as 30 days. Submit a parcel before expiry and always check the live warehouse countdown because policies can change.

Why combine several items into one parcel?

Parcel consolidation can reduce repeated first-weight and handling charges and allows coordinated packaging. It is not always cheaper: a large box may be charged by volumetric weight, and a heavy parcel or many identical products can attract route or customs restrictions.

Why can some stored products not ship together?

Items may require different logistics routes because of batteries, liquids, powders, magnets, branding, size or other classifications. An item marked for individual packaging also cannot be combined with ordinary goods. Build separate parcels using routes that accept each product type.

SHIPPING, TRACKING & CUSTOMS

International parcel cost and delivery depend on actual dimensions, route rules, carrier scans and destination-country controls.

What is estimated weight versus final billable weight?

The system first estimates the packed parcel from inbound item weights. After packing, the warehouse measures actual weight and dimensions. Many routes charge whichever is higher: actual weight or volumetric weight, calculated from length × width × height divided by the route's volumetric divisor.

What happens when the final shipping cost changes?

If final billable weight is higher than the estimate, the account may be asked to pay the difference before dispatch. If the estimate was high enough to cross the route's refund threshold, the excess is normally returned to the balance after reconciliation. Official guidance currently mentions processing within 72 hours after shipment for qualifying differences, but the parcel record is authoritative.

Why is tracking not updating?

Some routes need several days before the first carrier scan appears. After the first event, export handling or handoff to another carrier can create another gap; Hipobuy's current FAQ notes that some routes can take roughly 3–10 days between updates. Check route notices and contact support after the stated window passes.

What does customs inspection mean?

International parcels can be selected for customs review. Heavy, oversized, high-quantity or sensitive parcels may receive extra attention, and the recipient may be asked for an invoice, declaration or other clearance document. Taxes, return costs or destruction caused by prohibited contents or missing cooperation can fall to the recipient.

How should I think about duties and tax thresholds?

Thresholds and declaration rules vary by destination and can change without notice. Do not rely on an old country table or another shopper's result. Check the destination customs authority, use accurate declarations and budget for possible duties, VAT, brokerage or handling fees.

What can insurance or parcel compensation cover?

Coverage depends on the selected route and current insurance terms. Delay may not be compensable, while verified loss or damage can require timely evidence and may be limited by declared value or policy caps. Prohibited goods, inadequate evidence, late claims, recipient fault and force majeure can be excluded.

What should I do when the parcel is delivered?

Before signing when possible, inspect the outer carton, sealing tape and any obvious weight difference. If damage or missing contents are suspected, ask the carrier to record it or refuse delivery where permitted. Keep the box, labels, photos, invoice and carrier report, then submit evidence within the current claim window.

Which products may be prohibited or restricted?

Examples include controlled drugs, weapons, explosives, flammable or corrosive materials, pressurized containers, tobacco or vape products, certain batteries, liquids, powders, medicines, food and other goods restricted by law or a particular route. The official prohibited-goods list and route restrictions must be checked before ordering.

AFTER-SALES & POLICY CHECKS

Evidence and timing matter when damage, missing contents or product problems are discovered.

What if I find a product problem after delivery?

Photograph the outer parcel, inner packaging, shipping label and product immediately. Keep the original packaging and provide a clear description, invoice and carrier record. Hipobuy may help contact the seller or carrier, but the final outcome depends on warranty, seller rules, route coverage, evidence and application timing.

Does a warehouse photo guarantee authenticity or quality?

No. QC photos document visible condition at a moment in time. They do not authenticate branded goods or guarantee performance, material, fit, color accuracy or hidden construction. Use seller research, precise product notes and custom photos when a visible detail is important.

Where should I read registration, privacy and parcel agreements?

Legal terms should not be copied into an independent guide because they can be revised. Read the current Hipobuy registration agreement, privacy policy, service terms, parcel delivery agreement, affiliate rules and compensation policies directly on the official website before using the relevant service.
